System 400/600 - Cards for Guests
| |
Evolution
Magnetic stripe card locks for the hotel industry have been
available for several years. Nexus systems 400 & 600 represent
the pinnacle in design of our card lock systems which have been
evolving since 1982. The first card locks were designed simply to
replace mechanical guest keys, which could open just single
guestrooms. By working closely with several of the worlds largest
hotels chains Nexus can now provide you with reliable electronic
locking solutions that are a giant leap forward from the original
systems.
Guest Cards
Guest cards are issued on the basis of a room number or numbers,
with a start date and time plus a finish date and time. When a guest
checks in a card is issued which will open their room for their
intended length of stay. Should the guest lose their card or leave
early, new cards issued will prevent any existing cards from
working, even if the date is still current.
Extended check-out times can either be preprogrammed, or entered
individually.
|
| |
Multiple room Guest Cards
There are occasions where more than one room number is required on
an individual's card, so up to ten guest room numbers can be
programmed onto one guest card. Suites of rooms can be preprogrammed
into the system to save the front desk staff valuable time, however
if any of these rooms can be sold separately then individual guest
cards can also be issued.
Families
If a family is staying in multiple rooms then guest cards can be
issued to the parents which allow them access to all the allocated
rooms, but with the option that the children's cards only give them
access to their own rooms.
|
Cards for Guests
| |
Special Rooms
Why stop at guest rooms? Additional areas and rooms can also be
added. For example, if the guest is on an executive floor then
access to any areas connected with this can automatically be added
upon check-in. If the guest is hiring a conference or meeting room
then timed access can be added to the card whilst checking in
(Access time to the rooms can also be controlled by the system). The
health club, pool, conference facilities or even off-site buildings
can be controlled with the same simple and flexible programming.
|
| |
Master Keying
Installing a single lock into a property and having one user for it
is a simple task, whereas installing large numbers of locks and
allowing various users access to specific areas used to be a very
time consuming task. This is no longer the case. When using either
of these systems the large bunch of keys carried by many hotel staff
can be replaced in most circumstances by just a single card.
Due to the various ways in which CardLock data can be programmed
onto the Sub-master cards, access can be granted or denied to one,
all. or a selection of doors within the property.
Each Sub-master card can be programmed to work at all times. on
specific days of the week, or to match specific shift times and
security patterns.

|
Cards for Guests
| |
Authorization
It is of little benefit having intelligent electronic card
locks on your doors if you cannot control who is issuing the
cards to open them. Each hotel operates slightly differently
and our systems are designed to accommodate varying needs.
When defining a user for the system, you decide what that
person is allowed to do. Once the individuals levels of
authority have been programmed, they can log into the software
using their authorization card and password. All cards that
they subsequently issue are recorded and this information is
easily retrievable.
|
|
| |
Audit Trail
Having a complete audit trail is very important for security. Each
card within the Nexus system has its own identity. When a card has
been used in the lock the identity of the card and the time and
date of use are stored. In fact, the last 300 card identities are
stored in the lock. If a problem has occurred, the data can be
searched to see who has opened the door. From the information
gathered, a search of the system can be completed to see who
issued the cards in question.

Networks
for Multiple Card Encoding Stations
System 600
The System 600 PC and encoders communicate using popular industry
standard Ethernet cabling. In most cases System 600 can utilize
the existing network cabling structure of the property by just
adding connection points where encoders are required. With this
system the Card Encoders are not restricted to one place. As long
as there is a network point the encoder can be positioned there.
This is extremely useful for group check in areas which may be
only used occasionally. Using Ethernet cabling with the TCP/IP
protocol system increases dramatically the distance encoders can
be positioned from each other.
Language
Both System 400 and 600 support several languages, including
English, French, German and Spanish.
|
Card Encoding
Motorized Encoders
Both System 600 and 400 use motorized encoders. These card encoders can
write data to all three tracks of a standard ISO magnetic stripe card at
the same time. Nexus CardLock data is encrypted onto track 1, leaving
tracks 2 and 3 for Point of Sale, vending machine or loyalty program data.
In most cases this data can be added at the time the key card is encoded.
Manual Swipe Encoders
A manual swipe encoder is available for System 400, complete with its own
keyboard and screen.
Intelligent Encoding
Computer networks are not totally infallible and because of this Nexus
encoders are intelligent. Should you have any problems with the host
computer or network, the Nexus encoders can continue to issue Guest Cards
(up to 1000 per encoder). When the problem is rectified all transactions
are uploaded to the computer.
Error Free Encoding
Whichever style of encoder you choose you can rest assured that every card
produced will be encoded correctly. All Nexus encoders read the data on
the card straight after it has been encoded to ensure that it is correct
when presented to the guest.

Interfacing
Property Management Systems
As a standard feature, both 400 and 600 can be interfaced to
Property Management Systems. All standard guest functions can be
controlled through the PMS host software. Intelligent interfacing
brings many advantages:
- Reduced check-in time - all the information required to
issue a quest card is entered into the PMS as standard,
eliminating the need for double entry of data.
- Reduces human error - transferring the room number and check
out date directly from the PMS reduces the chances of the
wrong data being encoded onto the guest card.
Point of Sale Systems
POS data - through the interface with the Property Management
System (PMS) data such as the guests folio number can be added to
the guest card (track 2 or 3), which can be used by the Point of
Sale System to validate the guest. If there is no PMS interface or
the PMS is not capable of sending guest information then Nexus can
encode the room number, check-in date and time plus checkout date
and time, which can then be used to verify the guest.

Data Transfer unit (DTU)
The Data Transfer Unit is an easy to use menu driven lock programmer
and interrogator. Once the main system is set up all the information
required to program the property can be downloaded to the DTU. It
performs the following functions:
Download CardLock program - The Nexus lock uses re-programmable technology. When the lock is first installed its
software is loaded. Any software upgrades in the future can also be
loaded into the locks without the need for expensive hardware
changes, thus protecting the initial investment.
Programming lock details - The system has been developed
to cater to a hotel's complete locking requirements. All doors in
the property can be included, from guest rooms to stores, offices,
leisure facilities, executive areas and perimeter access.
Interrogating the lock - The DTU communicates with the
lock to view the last 300 card transactions, giving card details and
the time and date used. This information can then be stored on the
DTU and uploaded to the main system or printed at the door. Copies
can be printed and permanent records can be saved to disk.
Trouble Shooting - From time to time things never go as
expected, but rather than leaving your staff guessing as to what any
problem at the lock might be, the DTU can be used to prompt possible
causes. Details of the problem (such as invalid cards, expired time,
data corruption) will be displayed and therefore easily rectified.

Door Control Units
|
There are some doors and areas where the standard
Nexus lock is not suitable. For example it is difficult
to fit a mortise
lock into a glass door or use a battery powered lock in
a Common door. To meet these conditions Edwards will
supply and install Door Control Units, to suit your
requirements. These program exactly the same way as
standard locks, but are powered by 120v or 230v AC, and
are designed to operate magnetic locks, electric panic
exit hardware, electric latches, or other devices.
The Nexus units are self-contained, offering power
for the locking device (either 12v or 24v DC) and have
backup batteries in case of power failure. Options also
include timed egress buttons and emergency opening
panels.
The Nexus Electrical Device Controller is designed to
work in conjunction with the control circuits of
Elevators, Barrier
Gates
Parking
Garage Doors and
similar devices. This unit is programmed as though it is
a standard lock, so that it can validate any type of
guest or staff card.
